Position Summary

As our Facilities Manager, you are the person who makes that possible.
Reporting to the Clinic Director and working closely with the operations team, you will be responsible for the day-to-day operational management of our flagship clinic at First Canadian Place overseeing building systems, preventive and responsive maintenance, vendor relationships, clinical environment compliance, health and safety, and the ongoing presentation of our space. You will also serve as our primary liaison with First Canadian Place building management and will play a central role in operational readiness for our September 2026 opening. This is a hands-on, high-ownership role for someone who takes as much pride in a flawlessly running clinic as our clinical team takes in flawlessly delivered care.
Key Responsibilities
Building operations and maintenance
- Oversee day-to-day operations of the clinic facility, ensuring all clinic systems including HVAC, electrical, plumbing, lighting, and data/communications infrastructure are functioning optimally and reliably.
- Develop, implement, and manage a preventive maintenance program for all equipment, fixtures, and building systems to minimize downtime and extend asset life.
- Respond promptly and effectively to reactive maintenance issues, coordinating repairs with internal resources or external contractors and minimizing disruption to clinical operations and member experience.
- Maintain accurate records of all maintenance activities, equipment warranties, service contracts, and inspection schedules.
Clinical environment compliance
- Ensure the facility meets all applicable healthcare regulatory standards, including infection prevention and control (IPAC) guidelines, medical waste handling and disposal requirements, and Ontario Health and Safety Act compliance.
- Maintain up-to-date knowledge of relevant codes and regulations including fire safety, electrical safety, medical gas systems (where applicable), and building code requirements and ensure ongoing compliance.
- Coordinate environmental services standards to maintain the highest level of cleanliness, presentation, and hygiene across clinical and non-clinical areas of the clinic.
- Support the clinical team with any facility-related requirements that affect patient and staff safety, comfort, or workflow.
Tenant liaison and building management
- Serve as Stem Health's primary point of contact with First Canadian Place building management coordinating on building services, after-hours access, shared amenity use, tenant communications, and any building-wide works or upgrades.
- Manage lease-related facilities obligations and ensure the clinic consistently operates within the terms of its tenancy and building use agreements.
- Coordinate with building security, concierge, and operations teams to ensure smooth day-to-day access, deliveries, and any special requirements.
Vendor and contractor management
- Source, evaluate, and manage relationships with facility service vendors and contractors including cleaning services, security, waste disposal, equipment maintenance, and specialized clinical facility contractors.
- Negotiate service contracts, review performance against agreed SLAs, and manage renewals, ensuring quality and value at every stage.
- Oversee all contractor work performed within the clinic, ensuring compliance with safety requirements, quality standards, and minimal disruption to operations.
Space management and presentation
- Maintain the physical presentation of all clinic spaces to the highest standard ensuring the environment consistently reflects Stem Health's brand, aesthetic, and commitment to excellence.
- Manage inventory of supplies, consumables, and operational equipment, maintaining appropriate stock levels and reordering processes.
- Support space planning, furniture arrangement, and any minor internal modification or reconfiguration needs as the clinic evolves.
- Coordinate and oversee any future renovation, fit-out, or capital improvement projects in the clinic, working with contractors, architects, and building management as required.
Health, safety, and emergency preparedness
- Implement and maintain a comprehensive workplace health and safety program in compliance with the Occupational Health and Safety Act (OHSA) of Ontario.
- Conduct and document regular safety inspections, risk assessments, and staff safety briefings.
- Maintain emergency response plans including fire evacuation, medical emergency protocols, and business continuity procedures and ensure all staff are appropriately oriented.
- Manage all safety-related documentation, including WHMIS compliance, hazardous material records, and incident reporting.
Qualifications & Experience
- 3–5 years of experience in facilities management, building operations, or a related role experience in a healthcare, private clinic, or premium commercial environment is strongly preferred.
- Strong working knowledge of building systems (HVAC, electrical, plumbing), preventive maintenance programs, and contractor management.
- Familiarity with Ontario occupational health and safety regulations (OHSA), infection prevention and control standards, and healthcare facility compliance requirements.
- Experience as a tenant in a Class A commercial building understanding of building management relationships, tenant obligations, and shared services coordination is a significant asset.
- Proven ability to manage multiple vendors and service contracts with a high standard of accountability and performance.
- Excellent organizational and problem-solving skills calm and effective under pressure, with strong follow-through on open items.
- Proficiency with facilities management software, work order systems, and standard office tools.
- Strong communication skills professional, clear, and equally comfortable working with building management, contractors, clinical staff, and executive leadership.
- Post-secondary education in facilities management, building science, engineering technology, or a related field; FMP or CFM designation is an asset.
